We’re looking for a Project Coordinator in our Sydney team to effectively support our client facing projects, by being across all the behind-the-scenes internal aspects of our business and operations. In this role, you’ll have the opportunity to apply and grow your skills across our Growth, Operations and Finance business functions, and will be responsible for a diverse range of administrative and coordination tasks across the lifecycle of our projects.

This role provides critical administrative and coordination support to our Project and Bid Leads. It would suit someone with 2-5 years of previous administrative and/or project coordination experience, preferably with some financial experience, or experience in a small business/professional services firm. We’re looking for someone who understands what we do, shares our values, and is keen to learn and develop their expertise.

To be a standout Project Coordinator with BIT, you’ll need: 

To be able to work across multiple focus areas and manage competing priorities effectively — you’ll be involved in many different projects at different stages, so you’ll need to prioritise and manage your workload. 
To be detail oriented — you’re organised and passionate about getting the details right. 
To have a collaborative and flexible approach to teamwork — you’ll be working closely with staff across all levels and need to be able to build and manage these relationships.
To be self-motivated and able to work autonomously to deliver your work.
Strong communication and interpersonal skills — you can communicate with all team members in a responsive, friendly and solutions-focused way. 
To be able to meet deadlines and work under pressure — you’ll need strong organisation and time management skills.
To be curious about finding and solving problems — you care about every part of the business being run as well as it can be. 
The ability to learn and comprehend new material and information quickly and efficiently — you’ll be constantly learning new things and stretching yourself! 
Strong IT skills and ability to apply these across a range of platforms, including Office Suite or G Suite.
2-5 years of administration experience, preferably (but not necessarily) in a small business or consulting or professional services firm, with experience tracking and managing project budgets or other business financials. 

What you’ll be doing

As our Project Coordinator, you’ll be responsible for coordinating a diverse range of administrative tasks across the project life cycle, which means no two days are the same. You’ll be providing bid coordination (40%), internal project coordination (40%), and project delivery support (20%). This is an internal-facing role where you are the “behind the scenes” support to our Consultants — you will know and understand all our internal systems and processes, and guide Project Managers through them, to ensure projects are delivered on time and on budget. Some of your key areas of responsibility include: 

Coordinating proposal development activities, including responses to bids/tenders to ensure a systematic and consistent approach, working closely with the Growth & Strategy Officer and Head of Operations to follow and improve processes.
Supporting the development of budgets for new bids, and maintaining cost calculators and rate cards. 
Tracking the progress of projects throughout their life cycle in our project management software — entering projects into the pipeline, initiating project set up and contracting, responding to changes in staff availability or project scope, and capturing feedback & lessons learnt from projects when they finish.
Ensuring projects and bids are properly staffed (resourced), monitoring and reporting on team resourcing and utilisation, and escalating to the Head of Operations if team members are over-resourced. 
Working closely with project leads to help manage project budgets and ensure they are on track for delivery. 
Assisting the team with project delivery tasks (for example, scheduling interviews, undertaking data entry, or taking notes) as required.
